Each duplicate set needs a master record designated in order to be merged. There are 3 ways to select a master record:
- Setting up a Custom Merge
- Double clicking the pin (of record in duplicate set)
- Application of a Master Rule
This document focuses on options 1 & 2, more information on how to create a Master Rule can be found HERE.
Setting up a Custom Merge
Right click on the duplicate key header and select Setup Custom Merge
- Anywhere from 2 - 100 records may be placed in the custom merge window
- Double click the field values the user wishes to retain
- The values that will be retained for the final merged record will be highlighted in yellow
- Fields are displayed in the following order for easier review of possible data changes (listed alphabetically within each of the following 3 categories):
- Data is different (either the data itself is different and or data is blank in one or more records and populated in others) and will be shown in red script
- Data is populated on all records but is the SAME (shown in green script)
- All un-populated fields
- When the field selections are complete, click the "Accept" button
- The user will be returned to the duplicate grid
- The pins of these records will now be blue
to indicate that they are part of a custom merge
Double Clicking the Pin
Double click the pin beside the duplicate record to select it as the master record, turning the pin green
- Gray pins
indicate that no master record has been selected (group will not be merged)
- Green pins
indicate the selected master record
- All fields from the selected master record will "win" when merging
- Red pins
indicate the non-master records
