Step 1: Select Leads/Contacts/Accounts to Compare
Various options are available when selecting which Leads should be converted, including whether or not to compare to existing Contacts and Accounts.
- All Leads can be compared to all Contacts and all Accounts
- A subset of Leads can be compared to all or a subset of Contacts and Accounts
- Only compare Leads to Contacts and/or Accounts by selecting "Do Not Use" for EITHER the Contact or Account selection tab
- Mass Convert Leads with NO COMPARISON to Contacts and Account by selecting "Do Not Use" for BOTH the Contact and Account tabs
- Selecting Leads WITHOUT using conditions
- By Campaign, from a spreadsheet, or existing DupeBlocker Warnings
Specify Leads to compare: Tab Selection
There are multiple ways to select which Leads to convert, pick the desired tab. The DupeBlocker tab will only show if DupeBlocker 3 is installed and there are existing DupeBlocker Lead to Contact or Lead to Account Warnings.
Select Leads to compare
Look for duplicates across all Leads or a subset of Leads. Reasons to subset may be volume or strategic related:
- Strategic: Only compare Leads with a specific Lead Source
- Volume: Only compare Leads in a particular state
1. Select Use All to compare all Leads or Use Conditions to subset
2. If Use Conditions is selected create conditions by picking a field, operator, and value
- More information on creating conditions can be found HERE
Select by Campaign
Convert Leads linked to a specific Campaign.
1. Campaign Name: Pick from the drop-down list
2. Limit by Campaign Member Status: Optionally limit the selection to Leads with a specific Campaign Member Status
- e.g. only Leads that responded to the chosen Campaign
Select from file
Ability to read in a spreadsheet of Lead IDs to be converted. If matching Contacts or Accounts have already been identified, the matching Contact ID or Account ID can also be included.
- If NO matching ID's provided (just Lead ID's) the tool will provide options for mass converting the Leads with NO COMPARISON TO CONTACTS AND ACCOUNTS
To compare a spreadsheet of Leads ID's to existing Contacts/Accounts, users can use our MassEffect module with the list of Lead ID's to "flag" the Leads for comparison. Then use the Leads to compare tab with a condition to select Leads where the flag = true.
- When specifying a Matching ID, only one type of ID can be specified at a time (e.g. Contact or Account)
1. Select File: Browse to select the desired input file (xls, xlsx, csv, mdb (32bit only),accdb and udl)
2. Lead ID Field: Specify the column that contains the LeadID
3. Optional Matching ID: If using, specify the column that contains the matching Contact ID or Account ID
- If the columns are named LeadID and MatchID they will be auto-selected
Select from DupeBlocker
This option will only be shown if DupeBlocker 3 is installed (does not work with DupeBlocker 2), and there are existing Lead to Contact or Lead to Account Warnings. When using this tab, the option below to specify which Contacts and Accounts to compare to, as well as Contact and Account Matching Steps in Step 3, will be disabled.
Check the scenario to mass convert warnings for. General scenario information will be displayed, along with the number of current Warnings and Potential Duplicates.
Specify Contacts and/or Accounts to compare the Leads to
This section will be greyed out when using the Select from file or Select from DupeBlocker tabs for Leads. Proceed directly to Step 2 - Fields to show.
Separate tabs are available for specifying which Contacts and/or Accounts to compare the Leads to when the Select Leads to compare or Select by Campaign tabs are selected. When doing a complete Lead Conversion, users will want to compare the selected Leads to both Contacts and Accounts in the same pass. This will first allow for checking for a matching Contact (results in converting the Lead into the matching Contact). If no match is found, then a check for a matching Account will be done (results in a new Contact being created on the matching Account). Any Leads that did NOT match Contacts or Accounts can either be left as Leads (no action taken) or converted to NEW Accounts and Contacts.
Partial matching can also be done by checking the "Do Not Use" option for one or both tabs:
- To perform JUST a Lead to Contact conversion, select Do Not Use for Accounts
- Users are advised to keep Do Nothing as the Final Match action since no Account matching was done
- To perform JUST a Lead to Account conversion, select Do Not Use for Contacts
- This can result in duplicate Contacts being created during conversion
- To perform JUST a mass Lead Conversion with NO CHECKING for existing records, select Do Not Use for Contacts and Accounts
- New Contact/Account will be selected as the Final Match action
- Each Lead will be converted to a NEW Contact and NEW Account with an option to NOT CREATE duplicate new Accounts for Leads that belong to the same Company
- New Contact/Account will be selected as the Final Match action
1. Pick the Contact Tab
2. Select Use All to compare the selected Leads to all Contacts, Use Conditions to subset, or Do Not Use to not compare to that object (see notes above)
3. If Use Conditions is selected create conditions by picking a field, operator and value
Repeat steps 1-3 for the Account Tab
