QUESTION:
Recently we are receiving both tasks and email notifications for duplicate warnings. We do not have any custom code to do this, it just seems to have started on its own. How can we keep the tasks but stop the emails? Here is a sample of the email:
New Task
To: John Smith
Mary Jones has assigned you the following new task:
Subject: Potential duplicate Lead to Account created/updated
DupeBlocker Duplicate Warning: null
Due Date: 10/20/2016
Priority: Normal
Comments: A potential duplicate was found. Please click the "Related To Warning: ##" link located above to discover potential matching objects.
ANSWER:
This is due to a new Salesforce option in Winter ’15 that allows an email to be sent automatically when a task is assigned to someone by another user. In DupeBlocker it allows emails to automatically be sent to the scenario owner when a user OTHER THAN the scenario owner enters a duplicate and the option to generate a task for the “Current User and Scenario Owner” or “Scenario Owner” is selected. Since the current user entered the dupe they are the creator of the task and the task is assigned to the scenario owner which triggers the email of the task to the scenario owner. The current user WILL NOT get an email (as they assigned the task to themselves). Similarly if the scenario owner created the duplicate they WILL NOT get an email.
There is an organization wide Salesforce option to enable this new feature and it was enabled by default when Salesforce upgraded orgs to Winter ‘15. To make changes to this option go to Build -> Customize -> Activities -> Activity Settings. Once enabled, each user can specify in their own personal settings if they want to be auto-emailed when someone assigns them a task by going to My Settings -> Calendar & Reminders - > Reminders & Alerts.
More information on this new options can be found in the Winter ’15 Release Notes. Search for “Let Your Users Control Task Notifications Globally”.
